Key Responsibilities
- Provide administrative and coordination support to one or more senior leaders or teams, assisting with scheduling, meeting preparation, and routine operational needs.
- Manage calendars and meeting logistics, including scheduling meetings, resolving conflicts, and communicating changes to participants.
- Serve as a point of contact for internal and external inquiries, directing questions appropriately and responding with professionalism.
- Track tasks, deadlines, and follow-ups related to meetings, projects, or department activities; escalate issues as needed.
- Prepare, format, and edit correspondence, reports, presentations, and other materials using established templates and guidelines.
- Coordinate meetings and events by preparing agendas, organizing materials, capturing notes or action items, and supporting follow-up as requested.
- Arrange domestic and international travel and process expense reports in accordance with company policies.
- Support team activities and events, including meetings, training sessions, recognition activities, and department initiatives.
- Maintain organized filing systems, documentation, supplies, and reference materials.
- Handle confidential information with care and discretion.
- Perform additional administrative and coordination duties as assigned to meet business needs.
Requirements
- High school diploma or general education degree (GED) required; additional education or certifications are a plus.
- 5 or more years of experience providing administrative support to senior leaders, executives, or leaders of complex or global functions.
- Demonstrated experience managing projects, coordinating across stakeholders, and supporting leaders with competing priorities.
- Proven ability to independently manage complex calendars, meetings, and travel arrangements while handling confidential information with discretion.
- Experience planning and organizing meetings, events, or special initiatives, including preparation of materials and follow-up on action items.
- Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint; ability to create professional presentations and documents.
- Highly organized with exceptional attention to detail and follow-through.
