Key Responsibilities

  • Provide administrative and coordination support to one or more senior leaders or teams, assisting with scheduling, meeting preparation, and routine operational needs.
  • Manage calendars and meeting logistics, including scheduling meetings, resolving conflicts, and communicating changes to participants.
  • Serve as a point of contact for internal and external inquiries, directing questions appropriately and responding with professionalism.
  • Track tasks, deadlines, and follow-ups related to meetings, projects, or department activities; escalate issues as needed.
  • Prepare, format, and edit correspondence, reports, presentations, and other materials using established templates and guidelines.
  • Coordinate meetings and events by preparing agendas, organizing materials, capturing notes or action items, and supporting follow-up as requested.
  • Arrange domestic and international travel and process expense reports in accordance with company policies.
  • Support team activities and events, including meetings, training sessions, recognition activities, and department initiatives.
  • Maintain organized filing systems, documentation, supplies, and reference materials.
  • Handle confidential information with care and discretion.
  • Perform additional administrative and coordination duties as assigned to meet business needs.

Requirements

  • High school diploma or general education degree (GED) required; additional education or certifications are a plus.
  • 5 or more years of experience providing administrative support to senior leaders, executives, or leaders of complex or global functions.
  • Demonstrated experience managing projects, coordinating across stakeholders, and supporting leaders with competing priorities.
  • Proven ability to independently manage complex calendars, meetings, and travel arrangements while handling confidential information with discretion.
  • Experience planning and organizing meetings, events, or special initiatives, including preparation of materials and follow-up on action items.
  • Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint; ability to create professional presentations and documents.
  • Highly organized with exceptional attention to detail and follow-through.
